HOW IT WORKS

From The Office
Service staff  logon, create a new job, allocate the job to an engineer, and set a completion date for the job. They tag the relevant customer and equipment and identify if the job is chargeable, assign a fixed cost or allow the engineer to charge for parts and labour.  Once a job is created,  an email will be sent to the assigned engineer and the customer will also get an email notification.

Jobs received from the customer via email will be created as a new job automatically. Staff can then edit the job to tag the correct  customer and assign the job to an engineer.  You will also have the  optional to link the equipment to the job to check the warranty or product manual.

Internal notes will allow staff to comment on the job without sharing the details with the customer.

For your Customers
Customers can logon and review the existing tickets and update details if required.  They can email your service desk and the email will automatically create a job in the system, once a job is created the customer will get an email with the details.

For your Engineers
Full details of the issue are detailed in the job. The equipment can be tagged to the job to verify the warranty status and the repair cost.  A full parts listing allows the engineer to search for parts and add them to the job as used.  An invoice can be printed on site and given to customer to collect payment.

The engineer can photograph the damage and the completed repair work and link it to the job.  The engineer can also get the customer signature to record that the work was completed.

For your Accountant
A full list of stock items used by job for any given date can be produced. The time spent by an engineer on site can be analysed against the charges for the jobs.  Service contracts can be linked to customers and annual rollover billing created and printed.

The system is integrated to Sage Line 50, TAS and Intact.   The reporting systems allows us to export invoices to other accounting systems if required.
